As part of the A2B Tracking Webinar Series, Sharrieff Christmas and I recently held a session where we discussed Reporting Assets to the IUID Registry. For the purpose of this post I would like to talk about the specific data required for IUID asset reporting.

All qualifying Department of Defense (DoD) assets – regardless of whether they’re end items, legacy items or other government property – are required to be reported to the IUID Registry. The IUID Registry is the main repository for all of the IUID asset data that is collected for the DoD. The IUID Registry gives the Defense Department a system of record to track and trace all assets, to create an audit trail and to analyze, report on and optimize those assets.

 

MIL-STD-130 Compliant

Make sure that you completely understand Military Standard 130 (MIL-STD-130) before you report your assets to the IUID Registry. When submitting IUID data to the Registry it is vital that the syntax format is compliant with MIL-STD-130. Non-compliance in this area will cause some major problems and may prevent you from registering your data.

Another frequent mistake is using the data coming out of an ERP system or spreadsheet when it’s not in the specified format to meet the MIL-STD-130 requirements. Be sure that your data is in a compliant format before you submit to the IUID Registry.

 

Data Required for IUID Asset Reporting

Once you have the proper format in place you will need to be sure you have all of the data necessary to complete the registration process. Understand that you’ll need more than what is on the IUID Label (Which typically includes the CAGE code, Part number and Serial number) to complete the registration process.

Before you start, you’ll need to determine if the item you are registering is an end item, GFP or legacy. Then, along with the IUID information you will also need to have the acquisition cost, contract number, contract line item number, unit of measure, shipment date, acceptance date and the custody of the item. You may also need to consider if there are any parent child relationships or if there is any special tooling or test equipment that may need to be noted in the registration process as well.

Collecting all of the necessary data and submitting it in the right format is crucial to completing your registration requirements. Keep in mind that failing to properly register your IUIDs will have a negative impact on your business with delayed payments and costly corrective actions along with jeopardizing your reputation and future potential DoD contracts.
